Legal Secretary – IP/Trademark

This position provides high-level administrative support to litigation and transactional trademark and copyright attorneys. Must have advanced knowledge of federal court protocols and rules. To succeed in this role, candidate must be independent, have can-do spirit and be able to manage multiple projects and tasks. Considerable experience in litigation, trademarks and trademark prosecution are essential in this role.

This role offers the opportunity to work from a remote location on days when in-person attendance is not required, and as agreed upon by the direct supervisor and assigned attorneys. It is an essential function of any remote role that the employee be available to attend in-person meetings, professional development sessions or to come to the office for other reasons, if the need arises. This role is based in our Los Angeles office.  

Essential Responsibilities and Duties:

  • Prepare correspondence, memos, and other legal documents as directed.
  • Assist with document review, proofreading and editing of legal documents.
  • Conduct trademark investigations about adverse parties.
  • Communicate with clients and trademark team about deadlines and filings.
  • Ensure the orderly management of client files; transmit physical documents to records department.
  • Create various spreadsheets and project sheets to track team assignments and client requests. 
  • Work closely with docketing specialist to ensure deadlines are properly calendared.
  • Handle confidential information with discretion and maintain data integrity.
  • Complete conflicts checks through electronic intake system and draft engagement letters.
  • Coordinate meetings, appointments, conferences and travel arrangements.
  • Prepare monthly expense reports for attorneys. 
  • Other duties as assigned.

Required Skills, Abilities and Qualifications

  • 3+ years of experience as a legal secretary in trademark law. 
  • Deep knowledge of trademark procedures, terminology, and concepts.
  • Knowledge of court rules and civil procedures in Federal courts, including experience with e-filing; knowledge of TTAB filing procedures. 
  • Highly organized and able to handle a heavy IP desk, including managing calendars and prioritizing workload. 
  • Proficiency in MS Office Suite and legal software for document management.
  • Strong organizational and time management skills with attention to detail.
  • Clear and professional communication skills.

Salary

Hanson Bridgett offers a competitive salary and benefits package. The annual salary for this California-based role is anticipated to be in the area of $85,000 - $100,000, and represents the firm’s good faith and reasonable estimate of possible compensation at the time of posting. Actual compensation is negotiable, and will depend upon a number of factors, including but not limited to, the candidate’s years of experience, qualifications, and skill set.

Technology Trainer

The Technology Trainer designs and delivers training programs to educate individuals or teams on various aspects of technology, software, or hardware. Responsibilities include creating instructional materials, conducting hands-on training and continuing education sessions, assessing participants’ progress, and staying updated on industry trends to ensure training relevance. The Technology Trainer will act as a subject matter expert for applications and processes including our learning management system and other tools designed to help produce professional training materials and content. In this role, exceptional communication, interpersonal skills and presentation expertise are crucial. Participation in after-hours support is required. The Technology Trainer reports to the CIO. 

This role offers the opportunity to work from a remote location on days when in-person attendance is not required. Monthly travel to regional offices and on-site presence two days per week is required. It is an essential function of any remote role that the employee be available to attend in-person meetings, professional development sessions or to come to the office for other reasons, if the need arises. This position requires the individual reside in California. 

Essential Responsibilities and Duties:

  • Develop and deliver training programs for a variety of applications and software upgrades/deployments in alignment with firm templates and best practices. 
  • Design instructional materials tailored to legal workflows and the specific needs of different teams and individuals.
  • Develop and deliver ongoing learning for all firm employees.
  • Maintain LMS with up to date content and classes; update and maintain all firm tipsheets.
  • Conduct new hire training.
  • Conduct engaging training sessions in-person and virtually, adapting to various learning styles and needs. 
  • Provide one-on-one coaching and support to employees as they apply new skills in their work.
  • Assess training effectiveness and adjust programs as necessary to ensure continuous improvement.
  • Assess individual training needs and learning styles to assist human resources and direct supervisors on developing appropriate training plans. 
  • Collaborate with IT team members to stay updated on software changes and advancements to ensure seamless integration of software solutions into legal workflows.
  • Provide targeted training/support to members of the help desk on applications and procedures. 
  • Perform backup help desk duties when needed, and participate in after-hours support.
  • Other projects and duties as requested. 

Required Skills, Abilities and Qualifications

  • 5+ years of proven experience as a software trainer, preferably in a legal setting.
  • In-depth knowledge of legal processes and workflows.
  • Expert of MS Office and the correct way to use Word and accompanying software to create and modify complex legal documents.
  • Familiarity with legal-specific software such as CCC Macro Pro, various comparison tools, Contract Companion, Best Authority, Aderant, FormsWorkFlow, DocXtools, iManage, Acrobat, Interaction, Cisco Jabber, Cisco Webex, Zoom, MS Teams, Citrix and Windows.
  • Ability to tailor training programs to different skill levels and learning styles.
  • Excellent communication, interpersonal and presentation skills.
  • A self-starter who looks for opportunities to educate and coach.  
  • Patience and a passion for helping others succeed.
  • Experience with e-learning platforms and instructional design is a plus.
